How to Verify a Chinese Supplier Before You Send a Deposit
A practical checklist for confirming a factory is real, licensed, and export-ready — before any money changes hands.
Most costly sourcing mistakes happen at the very first step: sending a deposit to a supplier who was never properly checked. Verification is not paperwork for its own sake — it is the cheapest insurance you will ever buy. Here is the process we run on the ground in Guangzhou before we let a client commit a single dollar.
Confirm the business is real
Before anything else, establish that the company exists and is allowed to export.
- Business license. Ask for the supplier's business license and confirm the registered name, registration number, and scope of business. The scope should actually cover the goods you are buying.
- Export history. A genuine factory or trading company can show prior export records. No export history is not automatically disqualifying, but it changes how much risk you are carrying.
- Factory vs. trader. Know which one you are dealing with. Both can be fine — but the price, the lead time, and the quality control all change depending on who actually controls production.
Pressure-test the details
Verification is about catching the small inconsistencies that reveal a bigger problem.
- Match the bank account to the company name. Deposits should go to the registered company, not a personal account. This single check prevents a large share of fraud.
- Call the listed landline, not just WeChat. A real operation has infrastructure behind it.
- Ask product-specific questions. A real manufacturer answers questions about materials, tolerances, and capacity without hesitation.
Inspect before you scale
Verification prevents costly mistakes. Quality control prevents costly shipments.
Once a supplier passes verification, the next safeguard is a sample and a pre-shipment inspection. Approve a physical sample, then inspect the actual production run before it ships — not after it has already left the port.
